SmartFlow Initial Boost Training Series

The following ten part series covers the fundamentals of preforming a digital inspection with AutoVitals. Learn how to move a vehicle through the work flow steps, complete an inspection and send an inspection report to the customer.

Part 1 – What you need to get started

These training videos are designed to be interactive so that you can get up and running with SmartFlow as soon as possible. Before beginning the series, make sure you have access to a technician tablet and that your Point of Sale and AutoVitals dashboard are both open so that you can follow along through the training series.

Part 2 – Goals of the training series

The goal of this interactive training series is to give you an understanding of the SmartFlow program so that you are able to train your staff throughout the process change. In this series we will cover:

  • How to preform a digital inspection with AutoVitals
  • How to edit pictures in your inspection to add notes and markers
  • How to release your inspection to the customer via text or email

 

To begin the training series create a new work order in your Point-of-Sale and

  • Set the customer name to “Blue Steel”
  • Put your cell phone number for the phone number
  • Copy and paste WMWSU3C50CT541264 and use this as the VIN #
  • Create a labor line: inspection
  • Do not assign a technician in your point of sale

Part 3 – Vehicle Tiles

In part 3, we will cover how to navigate the technician view page and explain the functions of the markers on the vehicle tile.

Part 4 – Assigning Vehicles to Technicians

In part 4, we cover how to assign a vehicle to a technician using “drag and drop”. When you are ready to assign a vehicle to a technician in AutoVitals

  • Go to your tech view page in AutoVitals
  • Left click and hold on the double dotted line to drag and drop “Blue Steel” from the “no tech” column to one of your technicians

Part 5 – Performing an Inspection

Once the vehicle has been assigned to a technician, it is time to begin the inspection. In part 5, we cover the basics of performing a digital inspection in AutoVitals. Learn how to take a vehicle profile picture, how to navigate the digital inspection sheet and how to mark conditions and actions.

Before moving to part 6, practice performing an inspection:

  • Open the inspection sheet on your tablet
  • To mark conditions as “good” click on “Topics”
  • To mark conditions as “not good” click on “Conditions and Actions”
  • Take inspection pictures and add notes
  • Click on the work order button to save the inspection

Part 6 – Completing the Inspection

Once the inspection is completed, the technician marks the job as done. This will alert the Service Advisor that the inspection is complete. In part 6, learn how to move the vehicle tiles through the workflow and how technicians complete jobs in AutoVitals.

To complete an inspection and move a vehicle from the “Inspect” to “Estimate” workflow step:

  • Mark the job as done on the tablet
  • Click on the smartchat icon
  • Go to your workflow view page
  • Drag and drop your “Blue Steel” vehicle tile from the “Inspect to Estimate” step

Part 7 – Editing Images

In Part 7, we cover what happens in the estimate workflow step and the importance of taking pictures during an inspection. Additionally, learn how to edit images to increase job approval.

To edit images taken during the inspection:

  • Go to your workflow view
  • Click on the magnifying glass in the “Blue Steel” vehicle tile
  • Click on the inspection report tab
  • Click on the thumbnail of the inspection picture which will open the image editor
  • Drag and drop arrows and circles into the picture to add emphasis

Part 8 – Sending the Customer Inspection Results

In part 8, learn how to move a vehicle from the estimate to approval step and how to email or text your customer a copy of the inspection.

To email or text a copy of the inspection report to your customer:

  • Go to the workflow view page and drag the vehicle tile from the “Estimate” to “Approval” step
    • Once this action is completed, you will be prompted with a pop up verification
  • Review the inspection in the pop up
  • If the inspection is complete and ready to send, click “OK”
  • A text or email report of the inspection will be sent

Part 9 – Training your Staff
